How do I invite teammates?
Once your team exists, invite colleagues by phone number, link, or user ID—whichever is easiest.
After creating a team organization, invite colleagues so you can write together in TabDoc, put Agent to work, and move issues forward in the same Project.
This guide covers inviting people to a team organizationrather than a specific Project. New members join as Editor: they can collaborate normally but cannot manage billing, delete the organization, or perform similar administrative actions.
Before you start, confirm three things
Invite Invites are available only in team organizationsand only the organization owner can send them.
- The top bar shows a team organization, not Personal account
- You are the owner(the creator or someone who received ownership)
- A seat is available —plans limit member count; a full organization cannot add another member
Open the members page under Personal account to see:
Personal accounts do not manage members. Create an organization to invite collaborators.
First create an organization or switch to an existing team. To understand the difference between the two account types, see how to choose between a personal account and a team organization.
Where to invite
- Open TabTin and switch the top bar to the team you want to add people to
- Click Settings(the gear) in the left rail
- Organization settings → Members & quotas
- In the upper right, click Invite
- Choose an invitation method in the dialog and send
Three ways to invite people
Phone number (default and most direct)
Best when you know the phone number your colleague used to register for TabTin.
- The dialog opens on the Phone number tab
- Enter the number
- The role is fixed as Editor
- Click Send invitation
Note: The recipient must already have registered for TabTin with that number. Otherwise, the app asks you to have them register first.
How the recipient joins:
- After signing in to TabTin, the invitation appears automatically
- or can be opened from the notification bell. Choose Accept or Deny
- After accepting, the member can edit their organization display name
Invite link (best for sharing with a group)
Use this when you do not want to collect phone numbers or want several people in a group to join themselves.
- Switch to Invite link tab
- Click Generate invite link
- Copy it and send it through WeChat, Feishu, or email
How the recipient joins:
- Open the link in a browser or TabTin
- Confirm the organization name and role
- Sign in to TabTin(you will be prompted if signed out)
- Click Accept invitation
- The top-bar organization switcher now includes the new team
Two caveats:
- Someone previously removed from the organizationcannot use an old link —the owner must generate a new link or invite them by phone number or user ID
- The owner can use Members & allowances → Pending invitations / Invite links to view, copy, or cancel links
User ID (for an existing TabTin user)
Use this when the recipient can copy their own ID.
- Switch to User ID tab
- Paste their ID, available underSettings → Profile where it can be copied)
- Send invitation
The remaining flow matches phone-number invitations: after signing in, the recipient accepts from their invitation inbox.
What happens after acceptance
Receive invitation (dialog, link, or notification) ↓ Sign in to TabTin ↓ Confirm organization name and Editor role ↓ Accept ↓ Switch to the new organization in the top bar ↓ Start collaborating
After joining, a teammate can:
- Use TabDoc, TabData, Browser, and other apps in the organization
- Participate in organization Project(a separate Project invitation may still be required)
- Use organization-configured TabTin models. If the owner configured an organization-wide bring-your-own model, members can select it in conversations
A teammate cannot:
- invite others; only the owner can do that
- Change plans, member allowances, or organization-wide models
- Delete the organization
What if every seat is used?
Invitations fail when membership reaches the plan limit.
- The owner should open Organization settings → Subscriptions & billing
- upgrade the plan or buy additional seatsif available
- then send the invitation again
What else the owner can do
Also under the Members & quotas page:
| Action | Description |
|---|---|
| View the member list | Owners and Editors are shown separately |
| Pending invitations | Invitations not yet accepted can be cancelled |
| Invite link | Review previous links and copy them again |
| Remove member | The owner can remove a member. Content that member created in the organization is transferred to the owner |
| Leave organization | Members can leave on their own. The owner cannot leave; they must transfer ownership or delete the organization |
FAQ
I am an Admin. Why is there no Invite button?
Currently, only the owner can invite and manage members. An Admin label from older data may not grant this permission. Ask the owner to perform the action or transfer ownership.
Can I invite by email?
The desktop dialog currently supportsphone number, invite link, and user ID. An email API exists, but the app does not yet expose it. Use another method Invite link instead.
Will a teammate join my personal account?
No. Everyone has their own Personal account. Your invitation adds them to one specific team organization.
Are organization and Project invitations the same?
No.An organization invitationdetermines who may enter the team boundary.A Project invitation adds an organization member to one specific Project. People usually join the organization first, then the Project.
A teammate joined but cannot see a document
This may be a document-permission or Project-scope issue rather than a failed organization invitation. Confirm that the document belongs to this organization and that the teammate joined its Project or received a direct share.
Still stuck?
Take a screenshot of the step where you are stuck and send it to contact@larchiveai.com. We will help you diagnose it. Beta users can also ask their contact in the group, which is usually faster.
